Opening Meeting Agenda Exercise

Prepare an agenda for LEL’s Opening Meeting and explain the purpose for each agenda item.

 

Agenda

  • Review and confirm the scope and objectives

    • It is essential to confirm the scope and objectives earlier agreed for two reasons:

      • Confirm agreements made

      • Discuss and agree changes, if required

  • Inform the auditee the audit methods and procedures

    • It is essential to share with the organization's representatives the general methodology of the investigation for two reasons:

      • Confirm cooperation expectations

      • Put as ease everybody involved such that there shouldn't be any surprises

  • Confirm confidentiality

    • It is essential to explain that the audit process, its outputs and outcomes are confidential at the following levels:

      • Interviews between auditor and individual

      • Audit team, Audit Authority and Auditee

  • Establish official links (working teams)

    • It is essential to ensure:

      • That the guides places forward are appropriate to the needs of the Audit Team

      • That assignments are made for who is working with whom

      • That there is a clear line of roles, responsibilities and authorities of the guides

  • Determine what resources are at the disposal of the audit team

    • It is essential to take possession of the resources earlier agreed and arranged so that the Team Leader is able to distribute, use and consume as needed

  • Agree the Audit Plan

    • It is essential to review the Audit Plan earlier agreed to ensure:

      • That there is clear understanding of the impending events

      • That any adjustments needed are discussed and agreed in advance of the actual investigation activities

  • Address any questions

    • It is essential to ask for any questions as:

      • Representatives are often nervous

      • Sometimes representatives simply wish additional information regarding points and potential issues

      • Something simply wasn't brought up during the preceding discussions
